The right LED screen size depends on more than the number of guests. A room with 300 people seated in a long, narrow layout may need a different screen from a room with 300 people standing close to a stage. Viewing distance, content, screen height, room width and sightlines all matter. This guide provides practical starting points for planning.

Start With the Farthest Viewer

The farthest audience member must be able to understand the main content. If the event includes presentation slides or speaker names, the screen must be large enough for text to remain readable at the back. If the screen is mainly decorative, it can be smaller because it does not carry critical information.

Measure the approximate distance from the screen to the back row, not only the room length. Stages, aisles, booths and safety clearances reduce the actual viewing area.

The closest viewer helps determine pixel pitch. A screen can be physically large enough but appear coarse when people stand very close. As a rough planning guide, the minimum comfortable viewing distance in metres is often similar to the pixel pitch in millimetres. A P2.6 screen is commonly considered from about 2.5 to 3 metres, while P3.9 is often appropriate from about 4 metres and beyond.

Use 16:9 When the Screen Carries Standard Video

Most videos, presentation decks and broadcast feeds are designed for a 16:9 aspect ratio. A screen close to this shape is easier to fill without cropping or empty borders. Common practical dimensions may not be mathematically exact because LED panels have fixed module sizes, but the supplier can choose the closest configuration.

Ultra-wide screens are effective for stage backdrops and creative content, but standard video will not fill them unless the content is redesigned.

Screen Height and Placement

The bottom of the screen should be visible over the audience. In a seated conference, a screen installed directly on a low stage may be blocked by the first rows. In a banquet, centrepieces and standing guests create additional obstruction.

Raising the screen improves visibility, but the top must remain within a comfortable viewing angle. The support structure, ceiling height and rigging limits may determine the final position.

Text Size and Content Density

A larger screen does not fix a presentation with tiny text. Slides should use large fonts, limited bullet points and strong contrast. The presenter should avoid showing full spreadsheets or web pages unless the audience is close enough to read them.

For sports and video, motion and overall image are more important than small text. For corporate presentations, readable names, charts and key numbers are essential.

One Screen or Multiple Screens?

A single large central screen creates a strong focal point. Multiple screens are better when the room is very wide, columns block the view, the audience faces different directions or people are distributed across a large outdoor site.

Relay screens can show the same program feed or different content. They add equipment and labour, but they may improve the audience experience more than increasing the central screen by one or two metres.

A 120-person outdoor sports viewing area may need a larger and brighter screen because guests stand farther back and daylight reduces perceived image size.
